How much does a missed call cost a small business?
A missed call costs you the job that caller would have booked, times how often you win jobs from people you actually talk to. Work it out as missed calls per week x your close rate x your average job value x 52. A plumber who misses 5 calls a week, books half of the callers he talks to, and averages $350 a job is losing about $45,500 a year.
The formula
Yearly cost of missed calls = missed calls per week x close rate x average job value x 52
You need three numbers, and you can find all of them in about ten minutes:
- Missed calls per week. Open the call log on your business phone or your phone app and count the missed calls from the last two weeks, then halve it. Count only numbers that never reached you later, not calls you returned.
- Close rate. Think of the last 20 new customers who actually got you on the phone. How many booked? If 10 did, your close rate is 50%.
- Average job value. Last month's invoices divided by the number of jobs. Use the first job only, not what the customer might spend over the years.
Multiply them, and you have what the phone costs you when nobody picks up.
Worked examples
These are examples to show the math, not industry averages. Put your own numbers in the calculator.
| Business | Missed calls / week | Close rate | Average first job | Lost per year |
|---|---|---|---|---|
| Plumber | 5 | 50% | $350 | $45,500 |
| HVAC company | 4 | 40% | $400 | $33,280 |
| Auto repair shop | 6 | 40% | $450 | $56,160 |
| Hair salon | 8 | 60% | $70 | $17,472 |
| Dental office (new patients) | 5 | 30% | $250 | $19,500 |
Even the smallest number in that table pays for a lot of help.
Why the real number is usually higher
The formula counts one job per caller. The real loss is bigger for three reasons.
- Customers come back. A salon client books every few weeks. A dental patient stays for years. A homeowner who likes their plumber calls him for the next leak and tells the neighbours. A missed first call loses all of that, not just one ticket.
- Missed calls cluster at your busiest hours. You miss calls when you are on a job, driving between jobs, or closed for the night. Those are often the moments people need you most, like a burst pipe on a Sunday or an AC that quits in August.
- The caller does not wait. Think about what you do when a business does not pick up. Most people try the next name in the search results. By the time you call back an hour later, someone else is already on the way.
When calls get missed
For most owner-run businesses, the missed calls come from the same few situations:
- You are working with your hands: under a sink, under a car, with a client in the chair.
- You are driving.
- You are already on another call.
- It is after hours, a weekend, or a holiday.
- Your front desk is at lunch or helping someone in person.
If your answer to "who picks up the phone right now?" is "nobody", you have found the leak.
Five ways to stop missing calls
| Option | What it costs | What it does well | Where it falls short |
|---|---|---|---|
| Voicemail | Free | Nothing to set up | Many callers hang up and call someone else |
| Forward calls to your cell | Free | You hear every call | You still cannot answer while you work |
| Hire a receptionist | A salary, taxes and training | A real person who can also do office work | Business hours only, one call at a time |
| Live answering service | Usually billed per minute or per call | Real people answer | Costs grow with call volume; most take messages rather than book |
| AI receptionist | A flat monthly fee | Answers every call, day and night, several at once | Needs your business facts set up correctly; some callers still want a person, so it must be able to transfer |
The right choice depends on your call volume and your budget. For a business missing a handful of calls a week, the question to ask is simple: does it cost less per month than one lost job?
Check your own number
The missed call calculator does the math above with your numbers, and shows how many saved jobs a month it takes to cover the cost of answering every call.
How we handle it
Our AI Answering Service answers every call your team cannot get to. It asks what the caller needs, takes their name and number, and sends you a summary within a minute. If the caller asks for a person, it transfers them to your cell. It is $499 to set up and $99 a month, and the first 5 local businesses get $0 setup and the first month free.
Questions people ask
How do I find out how many calls I am missing?
Check the missed calls in your business phone's call log or your phone provider's app for the last two weeks, and halve the total to get a weekly number. Leave out callers you later reached.
Is every missed call a lost customer?
No. Some people call back or leave a message. That is why the formula multiplies by your close rate, and why you should only count missed callers who never reached you. If you think half of them call back later, halve your missed-call number.
What is a good close rate to use?
Use your own. Think of the last 20 new customers who got you on the phone and count how many booked. Any national average will be less accurate than that.
What is the cheapest way to stop missing calls?
Voicemail and call forwarding are free but still lose most callers you cannot talk to. A live answering service or an AI receptionist costs money but answers every call. Compare the monthly cost with the value of one lost job.
Does an AI receptionist replace answering the phone myself?
No. You keep answering the calls you can. The AI picks up the ones you cannot, and transfers the caller to you whenever they ask for a person.
